We are hiring a Practice Secretary to join our team, based in our Southend practice.
Job title: Practice Secretary
To provide an accurate, effective and professional secretarial service in our Southend office, ensuring that internal colleagues and clients receive the support they need.
As part of a front of house team, you will be the first contact with the client and you will work closely with our team to support to fee earners of all levels of qualification.
Our front office staff welcome and assist clients as best they can and direct them to the relevant team member. The role holder is a critical first point of contact, so you will build up a knowledge of our clients and be able to assist them in their needs. You will handle time-critical information. You will build relationships with clients and staff alike and will undertake specific roles in assisting Partners and senior team members in managing their workflows.
The Practice Secretary provides routine clerical and Admin support, is comfortable working with others to fulfil obligations to clients within time deadlines using software designed for the purpose and will carry out other duties that are required from time to time.
Key duties in this role include:
- Secretarial support to fee earners
- Providing front of house support, assisting clients face to face, by telephone and email
- Diary management
- Manage post in, scanning to the practice paperless software and distribution accordingly
- Assist the Partners with specific confidential matters
- Playing an active role in the implementation and review of the internal systems of the firm.
The ideal candidate
The ideal candidate will have previous experience in a secretarial role, with a proven ability to manage workflow and produce correspondence from standard documents and audio dictation. A willingness to learn is highly desirable too.
